What was happening
Everything ran on WhatsApp and Excel
Emaan's team scheduled inspectors by hand. Job details were copied across by hand, availability was checked manually, and the whole thing went back and forth all day. One batch of scheduling could eat half a day.
Nothing about that is unusual. It is what most operations look like before anyone touches automation, and it is exactly the situation where buying a tool first makes things worse.
What we did
The order was the whole job
We sat with the team first and mapped how work actually moved, not how they thought it moved. Then we picked the one workflow that hurt the most, rather than trying to fix everything at once.
Next came the people. We ran a full-day workshop where 18 staff got hands-on and built their first AI automation themselves, from scratch. That is the step most adoption projects skip, and it is why theirs stuck.
Only then did we build. AI-PASS is their scheduling system: it pulls in requests, matches inspectors against availability, and pushes confirmed jobs to Google Calendar. The same process that took half a day now takes five to ten minutes.
